General Affairs Operations
General Affairs Operations is responsible for managing various administrative functions that support the overall operations of the organization. This includes facility management, procurement, event coordination, and general administrative support, ensuring that the workplace runs smoothly and efficiently.
Job Responsibilities
Administrative
Provide administrative assistance to Academy, Insights, and Community tribes.
Maintain accurate records and documentation related to facilities, contracts, and vendors.
Manage filing systems and databases to facilitate information retrieval.
Ensure compliance with data protection and confidentiality policies.
Finance
Support the development and management of budgets for Academy, Insights, and Community tribes.
Assist in expense reporting and identify cost-saving opportunities for those tribes.
Assist in budget performance reporting for the related tribes.
Event Assistance
Help organize internal events, meetings, and conferences for Think Policy.
Assist with event logistics, including venue selection, catering arrangements, and audiovisual preparation for internal Think Policy events and events organized by the Academy, Insights, and Community tribes.
Provide on-site support during events to ensure smooth operations.
Help manage event budgets and ensure successful event execution.
Liaise with vendors and external service providers for various facility-related services.
Assist in vendor selection, negotiation, and contract management.
Support the monitoring of vendor performance and service levels.
Facility Management
Assist with the procurement and maintenance of office assets.
Help provide information related to usage, schedules, and other information related to the office.
Assist with overall operations of Think Policy as needed.
Job Qualifications
Bachelor’s degree in Business Administration, Management, Finance, or other relevant fields.
Proven experience as a Finance Admin General Affairs, or similar role is preferred
Genuine interest in finance management for small-medium organization
A highly meticulous, detail, and organized person
Basic knowledge regarding tax regulation is preferable
Good in communication and operational management
Capable of operating Microsoft Excel for processing data
